1. Introduction

Australian Multicultural Community Centre Foundation Limited (“AMCC”, “we”, “our”, or “us”) is committed to protecting the privacy, confidentiality, and security of personal information collected from members, service participants, volunteers, employees, partners, and visitors.

AMCC manages personal information in accordance with:

  • the Privacy Act 1988 (Cth)

  • the Australian Privacy Principles (APPs)

  • relevant organisational governance and operational policies.

This Privacy Policy outlines how AMCC collects, uses, stores, discloses, and protects personal information when delivering its programs, services, and organisational functions.


2. Collection of Personal Information

AMCC collects personal information directly from individuals through various interactions, including when you:

  • apply for membership or represent a member organisation

  • participate in AMCC programs, services, or events

  • engage with AMCC through community support services or outreach programs

  • communicate with us by phone, email, website, or in person

  • volunteer or work with AMCC

  • complete forms, surveys, registrations, or feedback submissions.


Personal information collected may include (where relevant):

  • full name, date of birth, contact details and addresses

  • cultural background, language preferences, and accessibility needs

  • details relating to participation in services or programs

  • membership or organisational participation records

  • payment, funding, or donation information (where applicable)

  • service interaction records where necessary for program delivery and support.

AMCC collects only information reasonably necessary to deliver services, administer programs, meet governance obligations, and comply with applicable laws.


3. Purpose of Collection

AMCC collects and uses personal information for purposes including:

  • delivering community programs and support services

  • administering membership, board elections, and general meetings under the Constitution

  • maintaining accurate organisational records and registers

  • supporting participation and engagement within multicultural and CALD communities

  • improving program design, service delivery, and community outcomes

  • communicating with individuals regarding programs, events, and updates

  • complying with legal, regulatory, and governance obligations.

Where required, AMCC will seek consent before collecting or using personal information.


 

4. Disclosure of Personal Information

AMCC may disclose personal information only where necessary and appropriate, including when:

  • disclosure is required or authorised by law

  • the individual has provided consent

  • disclosure is necessary to deliver services through approved partnerships or service providers.

Examples of partner organisations may include community service providers, educational partners, legal services, and health or wellbeing support organisations engaged in delivering AMCC programs.

All partner organisations must handle personal information in accordance with applicable privacy laws and appropriate confidentiality obligations.

Overseas disclosure:
AMCC does not ordinarily disclose personal information overseas. If overseas disclosure becomes necessary, AMCC will take reasonable steps to ensure compliance with Australian Privacy Principle 8.


5. Storage and Security of Personal Information

AMCC takes reasonable steps to protect personal information from misuse, loss, unauthorised access, modification, or disclosure.

Information may be stored in both physical and digital formats. Security measures include:

  • password-protected systems

  • secure databases and document storage

  • restricted access controls for staff and authorised personnel

  • secure handling of physical files and documents.

Where personal information is no longer required, AMCC will take reasonable steps to securely destroy or de-identify the information in accordance with legal and operational requirements.


6. Access and Correction

Individuals have the right to request access to personal information held by AMCC and request correction if the information is inaccurate, incomplete, or out of date.

Requests should be made in writing to the AMCC Privacy Officer.

AMCC will respond to access or correction requests in accordance with Australian Privacy Principles 12 and 13, generally within 30 days.


7. Privacy Complaints

If an individual believes that AMCC has breached their privacy rights, they may lodge a complaint with AMCC by contacting the Privacy Officer.

AMCC will:

  • investigate the complaint

  • respond in a reasonable timeframe

  • take appropriate corrective action where required.

If the complainant is not satisfied with the outcome, they may contact the Office of the Australian Information Commissioner (OAIC).

8. Changes to this Privacy Policy

AMCC may update this Privacy Policy periodically to reflect:

  • legal or regulatory changes

  • improvements to organisational practices

  • operational changes to programs and services.
